Privacy Policy

Webelio ESS is an employee self-service (ESS) app. Accounts are created and issued to employees by their employer (your organization), not by the public. We process your data on your employer's behalf so they can run attendance, leave, and payroll.

This Privacy Policy explains how SEDAWK DYNAMICS PVT LTD (operator of the Webelio platform; "we", "us") collects, uses, discloses, and protects personal information when you use the Webelio ESS mobile application (the "App"). By using the App you agree to this Policy.

1. Information we collect

We collect information your employer provides when they onboard you, and information generated as you use the App:

  • Identity & contact: name, employee code, email, phone number, date of birth, gender, and father's/guardian name.
  • Government & tax identifiers: PAN, Aadhaar, UAN, PF/ESI numbers, and tax declaration details, used for statutory payroll compliance in India.
  • Financial information: salary and payslip details, reimbursements, loans/advances, and bank account details used to pay your salary.
  • Attendance & precise location: depending on your employer's attendance settings, the App uses your precise location when you check in or out to verify your work site. If your employer enables live location sharing for your field-work account, the App also collects your position and work route during checked-in work periods, including while the App is in the background or not in use. Sharing pauses during breaks and stops after check-out. Your employer's authorized administrators can view your location and work route. The App explains the feature before requesting location permission and shows whether sharing is active.
  • Documents & images: photos and files you submit, including reimbursement bills and, when your employer requires them, attendance selfies taken during check-in or check-out. Selfies are stored with attendance records for review by authorized employer staff. Attendance selfies are not used for facial recognition.
  • Device & notification data: a push-notification token so we can deliver alerts (leave approvals, payslip ready, etc.), and basic device/app information. A device identifier binds mobile login to your account. During live location sharing, battery level and charging status help your employer understand whether your device is reporting location.
  • App diagnostics & usage: if the App crashes or hits an error, a crash report is sent with technical details (the error and where in the App it happened, device model, operating system and App version). We also record how the App is used — which screens are opened and which actions are completed, such as checking in, applying for leave or downloading a payslip. These records are linked to your account and organization by internal ID numbers only. Our analytics events do not intentionally include your name, email, phone number, precise GPS location, photos, or free-text entries such as leave reasons. Google Analytics also collects app-instance identifiers, device information and approximate location derived from your IP address. Crash reports can contain technical error messages and diagnostic context.
  • Biometrics (on-device only): if you enable app lock, Face ID / fingerprint verification is performed by your device's operating system. We never receive or store your biometric data.

2. How we use your information

  • To provide attendance, leave, payroll, and self-service features.
  • To verify work-site attendance at check-in and check-out.
  • To show authorized employer staff the live position and work routes of field employees whose accounts have live location sharing enabled.
  • To calculate salary and meet Indian statutory obligations (PF, ESI, PT, TDS, etc.).
  • To send you operational notifications about your requests and pay.
  • To secure the App and prevent misuse.
  • To find and fix crashes and errors, and to understand which features are used so we can improve the App.

We do not sell your personal information, and we do not use it for third-party advertising or cross-app tracking. The App does not collect your device's advertising identifier, and our analytics are configured with advertising features turned off.

3. How your information is shared

  • Your employer is the controller of your employment data and can access it through their HR administration console.
  • Service providers that operate the platform on our behalf — including cloud hosting, file storage, and Google Firebase (Cloud Messaging for push notifications, Crashlytics for crash reports, and Google Analytics for Firebase for App usage statistics) — under confidentiality obligations. Google processes this data on our behalf and does not use it for advertising.
  • Government / statutory bodies where required for payroll compliance, or where required by law.

4. Data retention

We retain your information for as long as your organization uses the service and as required by applicable tax, labour, and statutory record-keeping laws. When retention is no longer required, data is deleted or anonymized. See Your rights below to request deletion.

Live-tracking route history is subject to your organization's configured retention period and is periodically deleted after that period. Attendance records and their check-in or check-out locations are retained separately under the employment-record policy above.

Crash reports are kept by Firebase Crashlytics for 90 days. App usage event and user data are kept according to our Google Analytics data-retention setting. Aggregated reports may be retained separately.

5. Data security

Data is transmitted over encrypted connections (HTTPS/TLS). Sensitive identifiers such as bank account and Aadhaar numbers are encrypted at rest. Access is restricted to authorized personnel of your organization and our operators.

6. Your rights

You can change camera and location permissions in your phone's Settings. Disabling location may prevent check-in when your employer requires it. Starting a break or checking out pauses work-location sharing as shown in the App. Contact your employer about whether live location sharing is enabled for your account.

Subject to your employer's legal record-keeping obligations, you may request to access, correct, or delete your personal information. Because much of this data is your employment record, some requests are fulfilled together with your employer.

7. Children

The App is intended for employed individuals and is not directed to children under 18.

8. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by updating the effective date above.
